We are looking for a highly organised and competent Office Manager to be responsible for providing administrative support to the Newcastle office and senior management team, alongside office communications and event organisation.

About the Role

You will provide general reception duties, administrative support, set up, management and maintain office and project controls system, in line with company, customer and project requirements, along with:

  • Ensure stationery levels are maintained and order where necessary maintained
  • Prepare for new starters, coordinating inductions etc.
  • Ensure Risk Assessment and associated documentation is kept on file
  • Ordering new and returning old IT equipment
  • Prioritise and manage, multiple internal projects including internal training days and staff briefings
  • Manage office meeting rooms, receive and welcome visitors, ensuring a professional and courteous welcome, answering any questions about the business confidently.
  • Receive and welcome visitors and ensure that, on arrival, all visitors consistently receive a professional and courteous welcome, whilst maintaining a pleasant appearance of the office.
  • Booking and coordinating networking events. Tracking attendance and coordinating and arranging small to large Morgan Sindall business lunches, networking events and general events from inception through to event date
  • Maintain the files and document logs as required by the project team(s)
  • Organise, manage and file, project documents and drawings in conjunction with project and corporate naming and numbering procedure
  • Check that all information complies with specified company formats, templates and standards
  • To support live sites with mobile site administration, assisting with document control / printing and system support

About You

You will have good writing, analytical and problem solving skills, with the ability to manage a list of tasks whilst working alone or as part of a team, along with:

  • Previous Office Manager experience
  • Educated to NVQ level or equivalent
  • Knowledge of construction practices and standards
  • Knowledge in use of spreadsheets, database and job specific software such as 4Project
  • Experience setting up and using electronic document management systems
  • Ability to keep clear and accurate records and reports
